Parish Facilities Use – Information for Ministry Leaders
St. John the Baptist parish facilities are available for parish ministries and groups to support our mission of worship, faith formation, and community life. To keep everything running smoothly, all scheduling is coordinated through your designated staff contact.

Important to Know
- Scheduling follows a priority order: liturgy first, then faith formation, then parish community groups, and finally private rentals.
- The parish calendar runs July 1 – June 30 each year. Recurring events must be renewed annually.
- All meetings, events, and cancellations must go through your staff contact. Events are not official until you receive written confirmation of the date, time, and location.
- Prep, setup, cleanup, decorating time, and food storage must be reserved along with the event.
- Availability may change. Funerals and parish-wide faith formation may take priority.
- Flyers, posters, and promotional materials must be approved by the parish office before distribution.
Keys, Codes, and Room Use
- Keys and door codes are provided to ministry leaders as needed. Keys are not permission for unscheduled gatherings.
- Keys must not be transferred from one leader to another. When leadership changes, keys must be returned to the office and reissued to the new leader.
- If you use the kitchen or MPR, please complete the exit checklist, return washed linens promptly, and notify staff if supplies run low.
- Refrigerator/freezer space must be requested separately unless reserving the full kitchen.
End-of-Day Reminders: If you are the last to leave
- Walk through the building to confirm no one is inside.
- Close interior doors, lock exterior doors, turn off lights, set the alarm, and check that the front door latches.
Collecting Money at Events
- Pick up a tamper-proof deposit bag from the office before the event.
- Two people must sign the sealed bag.
- Return the bag to the office mail slot (or as directed).
Be a Good Neighbor
- Respect Safe Car Park participants and our Safety Team.
- Keep noise low after 9 p.m.
- For overnight vehicle parking, email davida@sjtbcc.org so the safety team is informed.
